the individual client needs. An event that has less
guests in many cases can cost more than an event with
more guests. It is for this reason that A`vie is setup
as a variety of packages with prices varying on our
amount of involvement in the process. Every event that
we are involved with will have a different price attached
to it.
We are versed in helping you with all those
details and not having you be concerned with them.

some of the things that we can take care of for you.

Month(s) Prior to Event
- Meet with main contact of event to find out their
wishes
- Go over all budget concerns and constraints
- Plan the décor/theme of event
- Book all vendors necessary for event
- Verify if we need publicity for event
Month Prior to Event
- Confirm vendor copies of all contracts
- Create final timeline and obtain clients approval
- Head counts
- Final payments to all vendors
- Confirm any additional details with client and
vendors
- Confirm with client the location of the décor
that will need to be present at the event and confirm
set up
Event Day
- On-site coverage and coordination and arriving
at least one hour prior to event
- Liaison to the client with any last minute changes
- Execute all plans and details with vendors
- Assuring all services are provided as contracted
by vendors
- Distribute last payments
- Handle any last minute emergencies
- Supervise and coordinate the setup of the event
- Confirm any documented special requests, as per
the client, have been completed
- Confirm with transportation service earlier in
the evening of arrival time and location
- Confirm the transportation of personal items/ gifts
are given to the appropriate individual to load
- Verify vendor’s are on schedule
- Verify event room is set up correctly as per the
client’s vision and instructions.
This includes: the tables (per table
layout) , linens, chair count per table, décor
of room, place cards, the air conditioning or
heat is on in the event room, the lighting is
adjusted for the entrance as well as later in
the evening:
- Greet event vendors and confirm they are set up
correctly within the facility
- Confirm the bar is open and hors d’oeuvres
are ready when guests begin to arrive
- Greet guests
- Manage the timeliness of the events
- Once the event concludes, verify items are gathered
and given to the designated individual(s)
Follow up after the Event
- Follow up with vendors for return deposits
- Review event for any changes for following events
